If you use an app such as Shoeboxed/Squirrel Street/Hubdoc/Dext/Quickbooks Receipt Scanner then this article covers the options in relation to Buildxact.

Ultimately there are two options:

  • OPTION 1: Use the Receipt Reader of your choosing.
    Note: this requires you turning off part of the Buildxact accounting sync. See the video below for more on this.

    • Pros:

      • Receipt readers are efficient, and they feed into accounting

    • Cons:

      • The information does not feed into Buildxact and if you are to use the cost tracking section of Buildxact correctly then you should be entering in the costings

      • They don't work well if you're sending purchase orders from Buildxact, this is because you'll never be telling Buildxact that the order is received as the incoming expense will bypass Buildxact

  • OPTION 2: Use Buildxact to handle your expenses

    • Pros:

      • This avoids any double entry

      • This allows you to use Buildxact purchase orders

    • Cons:

      • Buildxact does not have any Receipt Reader functions or integrate with any of the existing apps.
