If your business needs sign-off before bills or purchase orders are paid, this article covers the approval options available in your accounting software.
Buildxact doesn't have a built-in purchase order approval process. However, if you import expenses from your accounting system, those expenses have usually already been checked and entered in your accounting system before they reach Buildxact. The approval step in your accounting system can serve as your sign-off.
QuickBooks Online
QuickBooks Online can manage multi-stage approval for bills and expenses. You can set up a workflow so a bill needs approval from one or more people before payment is released. For the full setup steps, see Set up and use bill approval and payment release workflows.
Xero
Xero doesn't include multi-step approval natively, but several apps in the Xero App Store add it. These are third-party apps, not part of Xero.
ApprovalMax lets you build multi-step approval chains based on criteria such as amount thresholds, tracking categories (for example, department or location), or specific suppliers. It also includes a Xero Expense Claim workflow for out-of-pocket or company-card claims. For a step-by-step invoice approval setup, see ApprovalMax's invoice approval guide.
Approveit creates multi-step approval logic for bills, expenses and purchase orders, and handles sign-offs directly in Slack or Microsoft Teams.
ApprovalMGR automates custom-named, multi-step approval chains for bills and expenses. It sends mobile push notifications to approvers and attaches a PDF audit trail to the document in Xero once the workflow is complete.
