Share and publish schedules

Share your project schedule as a PDF, Excel file, image, email, or publish it to the Client Portal.

Export, email, or publish your project schedule so your team and clients always have the latest timeline. You can share a detailed Gantt chart, a simple task list, or publish the schedule directly to the Client Portal.

Share your schedule

Use the Share option to export or email your schedule in different formats.

Share the Gantt Chart

The Gantt Chart option exports both the task list and timeline view.

  1. Open your schedule.

  2. Click Share.

  3. Select Gantt Chart.

  4. Choose your preferred time frame.

  5. Select an export format:

    • PDF

    • Image

    • Excel

  6. Choose whether to include:

    • Categories only

    • Categories and tasks

  7. Download or share the exported file.

Tip: PDF is the best option for printing or sharing with clients.

Share the Task List

The Task List exports only the list of categories and tasks without the visual timeline.

  1. Open your schedule.

  2. Click Share.

  3. Select Task List.

  4. Choose your preferred time frame.

  5. Download the file or email it directly.

The Task List includes both categories and tasks by default, making it ideal for internal use.


Publish a schedule to the Client Portal

You can publish your schedule so clients can view it in the Client Portal.

Note: A project must be linked to a Lead before it can be shared through the Client Portal, as the portal is created from the Lead.

Publish a schedule

  1. Open your schedule.

  2. Click Publish.

  3. Enter a schedule name.

  4. Choose what to display:

    • Categories only

    • Categories and tasks

    • As displayed

  5. Click Publish to Portal.

After publishing, the Publish button turns blue to indicate the schedule has been shared.

What does "As displayed" mean?

The As displayed option publishes the schedule exactly as it appears on your screen.

For example, if you've collapsed most categories and expanded only one or two sections, your client will see the same view. This is useful when you only want to highlight specific parts of the schedule.

Update or remove a published schedule

After publishing, you can manage the shared schedule at any time.

  • Update replaces the existing schedule in the Client Portal with the latest version.

  • Remove deletes the schedule from the Client Portal.

Removing outdated schedules helps avoid confusion by ensuring clients only see the current version.
