How do I use Buildxact reminders?

Attention Australian & New Zealand users: SMS reminder notifications have been discontinued as of 15 August 2025. This is due to a change in Australian Communications & Media Authority regulations. See the ACMA website for details.

The reminders feature is replacing the old 'Reminders' and 'To-do list' functionality within Buildxact. As part of this update and redesign, the reminders display on the dashboard has been removed. Instead, you will find the Reminders tab in the left-hand menu. See below.

How do I create a reminder?

Clicking on the Reminders heading in the left-hand menu brings up the following screen. This screen will appear over any page you're on in Buildxact to make it easy for you to check off or add new reminders without losing your place in the app.

  1. Click on +Add reminder.

2. Include the description of your reminder.

3. Reminders, by default, are set as 'All-day reminders' (this will display as a green ticked box when you first open a new reminder). You can deselect this box and include a timeframe (see 4).

4. For a task with a specific timeframe, add your start and end times here.

5. Assign your contact (this is optional).

6. Check this box to send an email reminder to the assigned contact on the task one hour before the task is due.

7. Mark the task as complete.

8. Add any relevant notes.

9. Click Save.

Viewing reminders and job schedule tasks

By default, the reminders screen displays reminders and job schedule tasks. It's possible to filter what you see on this screen by clicking on the Contacts and Filter drop-down menus.

  1. View tasks and reminders by contact using the Contact drop down menu.

  2. You can select to view tasks that are unassigned by checking the Show Unassigned box.

  3. To view Job schedule tasks and reminders, click on the Filter drop down menu.

  4. Select to view just your overdue or completed tasks.

  5. Select to view just your overdue reminders or completed reminders.

How does the Reminders feature work in the Buildxact Onsite app?

The Buildxact Onsite app includes a Reminders feature designed to improve scheduling and workforce tracking by allowing users to create, view, and manage task reminders effectively.

Location of Reminders in the Onsite App

Reminders are located in the bottom-left corner of the app’s interface. To ensure they appear in your mobile app, reminders must first be created in the Buildxact web app and assigned to you. Once assigned, they will automatically sync and become accessible in the mobile version of the app.

User Roles and Permissions

Both primary users and crew members have the ability to create reminders in the Onsite App. This capability is not limited to specific user roles, ensuring inclusivity and flexibility in managing team workflows.

Inclusion in Plans

The Reminders feature is available as part of the Pro plan in Buildxact. If you are on the Pro plan, reminders created in your account will be visible and functional within the mobile app.
