How do I use the new Buildxact Timesheets?

Learn how to create timesheets from within Buildxact Onsite.

With the new Buildxact Timesheet functionality, you will be able to create your own timesheets from the Buildxact Onsite app. These timesheets can be approved within Buildxact and costs recorded directly into the associated job.

How do I create a timesheet?

Open the Buildxact Onsite app. The homepage will display a Create Timesheet tile (shown below). Click on this tile to open the Create Timesheet function.

When creating a timesheet, you'll have the opportunity to enter:

  • Start/end time and date related to the work session.

  • Job, Category, Item and notes related to the project.

Once these fields have been populated, you can create the timesheet.

How do I create a Work Order from Timesheets within Buildxact?

Once a timesheet is created from the Onsite app, you can create a Work Order to add the costs to your project.

  1. Navigate to Buildxact Imported Timesheets, within Jobs.

  2. Confirm the Job is correct, update if needed.

  3. Confirm the Category is correct, update if needed.

  4. Confirm the Item is correct, update if needed.

  5. Select the pay rate for the particular contact. You can go directly to your contact's pay rates to edit any details by clicking the edit icon.

  6. Click Create work order.

How do I set up Contact Pay Rates?

Each contact can have their own unique set of Pay Rates which are used to apply costs for work order creation.

Payrates can be set in the 'Contacts' area of Buildxact:
1. Select the Contacts Tab and select the relevant contact.
2. Select the 'Pay Rates' tab.

Each Pay Rate can have a Description, Rate and a Default set.

How do I view my timesheet history?

Click on History in the top right corner of your Onsite app screen to see all the timesheets you’ve submitted.

Select any entry to open its full details - hours, cost category, notes, and approval information. A status icon helps you track progress at a glance:

Green - Approved

Orange - Pending approval

Grey - Ignored / not approved

What if I don't want to use the Onsite App?

Not using the Buildxact Onsite app? No problem - open the Buildxact Timesheets page, under Jobs, and click Manual Work Order.


Enter the required details to create the timesheet and work order directly in the Buildxact web app.
