How do I integrate my email with Buildxact?

Learn how to streamline your communications with clients and subcontractors by using Buildxact's email integration

Designed to simplify your communications, Buildxact's email integration lets you send messages directly from your domain via Buildxact. You can view all your sent emails from within the Jobs and Estimates screen and also check the status of your emails, seeing when they're sent, delivered and opened.

Setting up your email sender address

  1. Navigate to Communications in the left-hand menu of the Buildxact homepage.

  2. Click on Email Senders.

  3. Click on Add Sender Address.

4. Insert the user address that you want to include as the email sender. Please note that public domain emails such as gmail.com, outlook.com, yahoo.com etc., cannot be used.

5. Choose the name of the email sender. This can be your name but could also be your business name or the name of a department within your business.

6. Click Send Confirmation.

7. Check your email and click the confirmation sent from Postmark. When you've done this, click Verify confirmation.

8. Your email sender address is now set up. Click Close.

Editing your sender address details

It's easy to edit the details of your sender address.

  1. Click on the email sender address.

2. From within the Edit Email sender pop up, you can change the 'from' name of your email sender. You may want to change this from your name to your business name, for example.

3. Toggle on the Available to all users function if the email is being sent from more than one person, your sales department, for example. Or toggle off if it's being sent from an individual.

4. Pesonalize your email signature by including a message, an image, an attachment and more.

5. When you've finished with your changes, click Save and Close.

Sending emails from estimate and job sections within Buildxact

It's easy to email information to your dealers and suppliers and/or clients using your nominated sender account within sections of estimates and jobs in Buildxact.

From within the Quote Letter tab in Estimates

  1. Click on the Quote Letter tab in your chosen Estimate

  2. Click Share

3. Click on Recipients to select who you plan to send the email to.

4. Enter the email address or addresses of your intended recipients.

5. Click on the drop-down menu Select a sender to send from.

6. Choose your sender account address.

7. Click Share.

From within Estimate Costings in Estimates

  1. Click on the Estimate Costings tab within your chosen Estimate.

  2. Click on the cogs symbol.

  3. Select the information you want to share/email.

The following email form will pop up.

  1. Include a direct recipient, any recipients you'd like to CC and any you'd like to BCC.

  2. The default 'From' address is shown as 'Buildxact on your behalf. However, using this default setting doesn't allow the recipients to respond directly to you. Instead, you can select your chosen 'from sender' address, allowing recipients to reply directly to you through Buildxact.

  3. Include your message.

  4. Click Send.

Viewing the live status of your emails from within Estimates and Jobs

You can check the live status of your emails from within estimates or jobs by clicking on the email symbol shown below.

The following pop up will appear. This email list contains all of the emails relevant to that particular estimate or job. You can:

  1. Search for specific emails by recipient or topic.

  2. Check the status of your emails at a glance.

You can also click on a specific email to check the details and resend if necessary.

Note: the 'Processed' status indicates that there were no issues with the email being sent and the 'Delivered' status indicates that there were no issues with the email being received on the recipient's end.

Viewing the live status of your emails from the Communications section

To get an overview of all your email communications, click on Communications in the left-hand menu of the Buildxact homepage and select Email. You will then be able to see a list of all your email communications and their relevant statuses.
